You run a real estate agency. You list homes for sellers and landlords, market them on your channels, and help buyers and tenants find and view them. StellarFirm gives you a team that drafts the work for every listing, and you approve everything that goes out.

You are the CEO. You add the listing and approve every post, ad, email, and invite.

Preflight#

  1. Connect your mail and your calendar: Gmail or Outlook, and Google Calendar.
  2. Put one folder per listing in Google Drive, OneDrive, or SharePoint: the listing sheet, the floor plan, the photos, and any clips.
  3. Connect your social tool, such as Metricool, Ayrshare, or Buffer, so Marketing can see what worked before.
  4. Connect your email campaign tool, such as Brevo, so Marketing can read your lists and past campaigns.
  5. Write your company brief: the area you cover, what you list, your channels, where leads arrive, and your voice.

House rules to start with#

Copy these into your company brief and edit them to fit.

  • Never post, publish, or send on your own. Every post, ad, email, and invite waits for my Approve.
  • Describe the home and the area, never the kind of person who should live there.
  • Use only the facts in the listing sheet. Say when something is missing.
  • Keep each client and each listing separate.
  • Do not give legal, tax, or mortgage advice.

Day 1: your first listing#

PromptMarket a new listing

Marketing, from the listing sheet in the Drive folder for [address], write the description, a 30 second video script with a shot list, three social posts, and one ad. Describe the home, not the buyer. Hold everything for my Approve.

Marketing, draft a just listed email about [address] for people looking in [area]. Use only the facts in the listing sheet and hold it for my Approve.

Read every draft. Fix a fact once in the listing sheet, and ask again: every draft uses the same facts.

First week: leads and viewings#

PromptAnswer the leads

Sales, draft a reply to every enquiry about [address] this week. Answer what each person asked, offer two viewing times, and give one next step.

Executive assistant, plan the viewings for next Tuesday. Group the homes by area, check access with the owners first, and draft the invites.

Sales, draft a thank you to each visitor from today's viewings and one update for each seller on what visitors liked and raised.
